Pernee is structured to align with how CPA and accounting practices bill their clients: transparent platform licensing coupled with seasonal filing tiers.

1. Pricing Structure

Pernee’s subscription model consists of two components:
  1. Firm Platform Fee: Covers your firm’s dedicated tenant isolation, SOC 2 compliant storage, continuous connector sync (Microsoft 365, SharePoint, Google Drive), and automated daily security canaries.
  2. Active Filing Tiers: Scaled to the volume of client entities and returns managed in your book for the active season (e.g., 1040, 1065, 1120, 1120-S, 990).
What Counts as an Active Filing?
An active filing is a distinct return instance for a specific entity and tax year (for example, Acme Corp — Form 1120 — TY2025). Multiple state filings or extension schedules associated with that same return do not incur extra filing fees.

2. Managing Seats & Firm Members

  • Team Roles: Invite preparers, managers, reviewers, partners, and external seasonal contractors with role-specific access permissions.
  • Seat Allocation: Depending on your tier, seats can be added or reassigned at any time under Settings → Team.
  • No Inactive Seat Waste: Seasonal staff accounts can be suspended or removed after the April 15 or October 15 deadlines without losing audit logs or historical workpaper sign-offs.

3. Invoices, Payments & Stripe

  • All payment processing, invoicing, and receipt generation is powered by Stripe.
  • Invoices clearly itemize your firm’s base platform subscription, current filing tier, and any sales tax applicable to your jurisdiction.
  • Payments can be made via credit card or ACH bank transfer for enterprise plans.
  • Download past receipts and manage billing contacts directly in Settings → Billing.

4. Cancellation & Refund Policy

We want firms to have complete control and certainty over their commitments:
  • Cancel Anytime: Firm administrators can cancel a subscription at any time directly through Settings → Billing.
  • Service Continuity: Upon cancellation, your firm retains full access to Pernee until the conclusion of your current prepaid billing cycle (monthly or annual).
  • Refund Terms: Annual subscriptions cancelled within the first 14 days of activation are eligible for a prorated refund upon review by our billing team. Monthly subscriptions are non-refundable for the active month but will not renew.

5. Post-Cancellation Data Export & Purge

Firms own 100% of their client documents, extracted figures, and workpapers. If your firm decides to end its subscription:
  1. 30-Day Export Window: Following the conclusion of your paid subscription, your account enters a 30-day read-only export grace period. Firm administrators can download complete archive packages (ZIPs containing workpapers, audit trails, and reconciliation schedules).
  2. Permanent Data Purge: After the 30-day export window expires, Pernee triggers automated database tombstones and purges all firm vectors, extracted document chunks, and cached tokens from our servers.
  3. Immediate Purge Requests: Firms requiring immediate certified data destruction upon contract termination can request an expedited purge by emailing privacy@pernee.com.
